Business card guidance

This tool allows Civil Air Patrol members and NHQ staff to generate compliant business cards using approved branding elements, grade conventions, and contact information.

  1. Choose your member type and grade, then type your name.
  2. Add up to two duty positions (press Enter for the second), your unit, and your address.
  3. Add your phone numbers and your official email address.
  4. Fix anything the brand standards review flags, then check the card in the preview.
  5. Select Download PDF and print on one of the supported Avery business card sheets at 100% (actual size).

Your file is named for your unit and this tool, such as TX-388_business-cards_Jane-Doe.pdf, so it’s easy to find in your downloads.

  • The Defense Media Agency and the Department of Defense Visual Information Style Guide cite military ranks receiving periods in their abbreviated form when external communication follows the industry standard of AP style. "SM" is not a grade and should not be used.
  • Use approved CAP grade abbreviations, courtesy titles, and official naming conventions.
  • Include up to two duty positions, unit names, and contact information appropriate to your role.
  • Keep titles, unit names, and address lines concise so the layout remains readable. The address supports up to six lines.
  • Review spacing, alignment, and legibility before printing or distributing.
  • Do not include professional titles or post-nominals such as "MD," "PhD," "CFI," etc.
  • Appending ',CAP' is not required if the content is clearly showing Civil Air Patrol in its capacity.

This layout is compatible with the following Avery® business card templates: 18871, 27871, 27881, 27883, 28371, 28877, 28878, 38871, 38873, 38876, 5371, 5376, 5377, 55871, 55876, 5870, 5871, 5874, 5876, 5877, 5911, 8371, 8376, 8377, 8471, 8870, 8871, 8873, 8875, 8876, 8877.

Grade and name

Use approved CAP grade abbreviations. Do not use "SM" or add professional post-nominals.

Duty position(s)

List duty positions and unit names exactly as you want them to appear on the card. A long duty assignment gets a red outline. You can still download it, but it may not fit on the card.

Maximum two lines allowed. Extra lines were removed.

Address

Up to six lines are available, which is enough room for a unit name, a building or facility name, the street address, and city/state/ZIP. Use line breaks only where needed to maintain readability.

Phone number(s)

Phone numbers are automatically formatted with periods between number groups.
